Overview

The Red Lobster Facilities Coordinator supports a team of Facilities and Operations leaders with a primary focus on restaurant capital improvement and maintenance projects.  The Coordinator also contributes to Red Lobster’s profitability and growth through the application of strong organizational, analytical and problem-solving skills.  This position performs extensive support duties related to vendor and material / equipment approvals, purchase order generation and tracking, product allocation and placement, restaurant customer service, document control, analytical support and vendor communication.  The position also coordinates recurring activities such as product orders for the Restaurant Support Center, vendor payment processing, and assisting with vendor audits.
 
This is a high visibility position with extensive contact with internal departments, major vendors and restaurant operators.
 
ROLES AND RESPONSIBILITIES:

  • Under the direction of the Facilities Manager, this position serves as primary support for capital improvement and/or maintenance projects for multiple assigned operating regions or program categories
  • Maintains and issues vendor forms, including non-disclosure agreements, general terms and conditions, proposal documentation, business award communications, pricing terms, contracts, certificates of insurance and invoice payments
  • Maintains vendor project and performance tracking through Red Lobster’s Oracle financial system, Ecotrak project management tool & other systems to ensure vendors have submitted required documentation and completed contracted work
  • Coordinates with Accounts Payable department and vendors to complete all documentation and invoice processing requirements for new accounts and products
  • Creates and tracks purchase orders for projects within assigned regions / project categories
  • Tracks projects to closing status and ensures timely and accurate payments are completed to vendors
  • Fields calls from restaurants to assist with questions related to status of projects within assigned regions / project categories
  • Prepares and communicates local service contracts for selected services including landscaping, snow removal and systems maintenance
  • Assists Facilities Manager and Operations leaders with warranty compliance for selected items
  • Updates and maintains recurring departmental reports and KPIs to ensure performance objectives are tracked and achieved
  • Researches and provides support for selected documentation requests related to liens and litigation matters
  • Coordinates facilities-related actions related to restaurant openings, remodels or closings as directed
  • Provides ad-hoc support and processes invoices for Restaurants Support Center items as directed
  • Provides back-up support for other coordinators as directed
  • Provides administrative support to Facilities Managers and VP, Facilities and Construction as needed
  • Performs special projects upon request

 
REQUIRED TECHNICAL SKILLS:

  • Minimum 3 years of experience coordinating complex functional and operational activities in a fast-paced, customer service-oriented business environment
  • Experience with financial systems and software programs such as Oracle and Ecotrak
  • Proficient with Microsoft Office applications (Outlook, Word, PowerPoint) with expertise in Excel; familiarity with Sharepoint or similar file sharing applications

 
REQUIRED EDUCATION:

  • High school diploma or equivalent required

PREFERRED SKILLS:

  • Experience or previous exposure to functions within facilities or construction management
  • Post secondary coursework or college degree in business, accounting or contract law
